Rebuild a presentation from a PDF you were sent

The difference between visually faithful slides and reconstructed editable text, which route suits reuse versus reference, and what always needs tidying afterwards.

There are two approaches. A visual conversion places each page as an image on a slide, which looks identical and cannot be edited. A reconstruction reads the native text and rebuilds it as editable text boxes, which is editable but needs alignment and styling work afterwards. Choose based on whether you need to change the content or just present it.

  • Visual conversion is faithful and frozen; reconstruction is editable and imperfect. There is no route that is both.
  • Reconstruction works only on native text, so a PDF made from scanned or exported images cannot be rebuilt as text.
  • Ask for the original deck first; five minutes of asking usually beats an hour of reconstruction.

Someone sends a deck as a PDF and you need to present it next week with three slides changed. The original file is with a supplier, a former colleague, or an agency that has stopped replying. Reconstruction is the fallback, and it helps to know exactly what each route gives you.

Ask for the source first

It is worth stating before anything technical. The original PPTX exists somewhere in most cases, and five minutes spent asking for it saves an hour of rebuilding and produces a strictly better result — real masters, real fonts, real editable objects.

Reconstruction is for when the source genuinely cannot be obtained.

Two routes with different trade-offs

The slide conversion tool offers both, and they are not variations on the same thing.

Visual slides. Each PDF page is rendered as an image and placed on a slide. The result looks exactly like the original — every font, every alignment, every graphic in the right place. Nothing on it can be edited, because it is a picture. Use this when you need to present the material as it is, add your own slides around it, or combine decks from several sources.

Text reconstruction. The native text is read out of the PDF and rebuilt as editable text boxes positioned to match the original layout. You can change the words. What you get is a slide made of many separate text boxes rather than a proper title-and-content layout, because the PDF contains no information about which text was a title and which was a bullet.

What reconstruction realistically produces

Set expectations correctly and you will be pleasantly surprised rather than frustrated:

  • Text is editable but fragmented. A bulleted list may become five separate text boxes, each with its own position.
  • No slide layouts or masters. Every slide is a collection of loose objects, so changing the theme changes nothing.
  • Fonts may substitute. If the PDF's fonts are not installed, text reflows and boxes need resizing.
  • Vector graphics may flatten. Charts and diagrams often arrive as images rather than editable shapes.
  • Tables become text. The grid was never in the file, only the appearance of one.
  • Nothing animates. Builds were lost when the deck became a PDF and cannot be recovered.

Requirements for reconstruction to work at all

Text reconstruction needs native text in the PDF. Check by selecting a word: if individual characters highlight, the text is there. If a whole rectangle highlights, the page is an image — which is common for decks exported through a print-to-PDF path that rasterised everything, or received as scans.

In that case reconstruction has nothing to read, and the visual route is the only option. Running recognition first adds a text layer, but the visible slide is still an image, so you gain searchability rather than editability.

Tidying up afterwards

Budget time for this; it is where reconstruction is either worthwhile or not.

  1. Fix the reading order. Text boxes arrive in drawing order, which affects accessibility and tab behaviour.
  2. Merge fragmented text. Combine the five boxes that were one bullet list.
  3. Reapply consistent styling. Set type sizes and colours from your own template rather than accepting the reconstructed values.
  4. Check every slide at full size. Overlaps and clipping are common.
  5. Replace flattened graphics. If a chart matters and arrived as an image, rebuilding it from the underlying numbers is usually faster than editing a picture.

When a different output fits better

  • You want the words, not the slides. The text extraction tool gives you the content in seconds without any layout work.

The asymmetry is the point: converting a deck into a PDF discards information deliberately, and no conversion back can restore what was discarded. Reconstruction recovers what is still present in the file, which is the text and its positions — useful, but not the same as having the original.
