Verify that your resume PDF exposes readable text
Format and export a resume as a searchable PDF, then inspect the extracted text and reading order before submitting it to an applicant tracking system.
The short answer
An ATS-readable resume PDF should expose your name, contact details, headings, dates, employers, roles, and skills as selectable text in a sensible order. Build a simple DOCX source, export through a searchable PDF path, extract the final text, and correct anything missing or scrambled. This verifies the file, but it cannot guarantee ranking, shortlisting, or compatibility with every system.

The safest way to format a resume for an applicant tracking system is to verify the final file rather than trust a template label. A PDF can look polished to a person while exposing little usable text, or it can extract headings and dates in an order that no longer matches the page.
The practical goal is modest: create a searchable PDF whose important content can be selected and extracted in a sensible sequence. That does not prove how a particular employer’s system parses, scores, or ranks applications. It does remove a preventable document-format failure before submission.
Build a source that can survive conversion
Start in a word-processing document and keep the reading path obvious. Use one main text flow, real heading styles, standard lists, and ordinary text for your name and contact information. A person should be able to move from summary to experience, education, projects, and skills without guessing which box comes next.
Decorative layouts create more opportunities for extraction order to differ from visual order. Multiple columns, floating text boxes, sidebars, icons used instead of words, and dense tables may still look correct after export while their text appears elsewhere in the extracted sequence. Keep factual content honest and specific to your experience. Matching relevant language from a job description is useful only when the resume accurately supports it. Repetition, hidden keywords, or invented skills do not solve a formatting problem and may make the document less useful to a human reviewer.
Export through a searchable PDF path
The browser-local Word-to-PDF workspace can render a DOCX for review and use the browser’s Print or Save as PDF path as its primary searchable output. It supports common document structures such as headings, paragraphs, lists, tables, images, links, headers, footers, and explicit page breaks where the renderer and browser can reproduce them.
Use the searchable browser-print route for a resume. The tool’s direct-download fallback creates page images and does not preserve searchable text, links, semantics, or accessibility. An image-only resume may appear identical on screen while giving a text parser almost nothing to read.
Review the preview before saving. The browser controls final pagination, scale, backgrounds, font metrics, and the Save as PDF operation. Uncommon fonts, tracked changes, advanced fields, complex shapes, and exact section layout may differ or be omitted. If the source uses those features, simplify it or compare the exported pages carefully.
Extract the text from the exact file you will submit
Do not verify an earlier draft. Open the final PDF in the native PDF text extractor, then read the output from top to bottom. The extractor keeps page boundaries visible and provides the text already stored in the PDF. It does not run OCR on an image-only resume and does not promise perfect reconstruction of columns, tables, or positioned labels.
Check that the extracted result includes:
- your full name and preferred contact details;
- section headings in the intended order;
- role titles, employer or organisation names, and dates;
- education, qualifications, projects, and relevant skills;
- punctuation and spacing that do not join separate words;
- no repeated header, footer, or sidebar text interrupting sentences.
Also search the extracted text for a few terms that matter to the application. If a visible word cannot be found, inspect how it was created in the source. Text embedded inside a logo or screenshot is not equivalent to ordinary PDF text.
Correct reading-order failures, not just appearance
If the extraction alternates between columns or inserts a sidebar inside work experience, return to the DOCX and simplify the layout. Moving a section on the PDF page without fixing the source structure may preserve the same confusing extraction order.
If letters disappear or become unexpected symbols, replace unusual fonts or decorative glyphs with straightforward text. If nearly nothing extracts, confirm that you used the searchable print output rather than the image-only fallback. Export again and repeat the same test.
Finally, open the PDF in a second reader and confirm that it still has the
expected page count, line breaks, live links, and selectable text. Use a clear
filename such as First-Last-Resume-Role.pdf, then submit the exact verified
copy.
A final ATS-readable PDF checklist
- The resume uses a clear main reading flow.
- Name, contact details, headings, dates, and skills are ordinary text.
- The final PDF was created through a searchable output path.
- Extracted text contains every important section in a usable order.
- The PDF was opened in another reader and links were tested.
- No claim is made that formatting alone guarantees ranking or shortlisting.
