Diagnose the difference before changing the PDF
Diagnose why a PDF changes between computers and choose a searchable re-export, flattened delivery copy, or carefully rebuilt document.
The short answer
A PDF can look different on another computer when fonts are unavailable, interactive layers render differently, or the original export was incomplete. Test the same page in another reader, inspect its text and fields, then re-export, flatten a delivery copy, or rebuild only when the evidence supports it.
- Reproduce the difference in a second reader before changing the file, because one viewer can be the source of the mismatch.
- Use searchable flattening for supported forms and annotations, or raster output when fixed appearance matters more than selectable text.
- Keep the original and verify page count, text search, print preview, and critical pages on the receiving device.
If a PDF looks different on another computer, treat the receiving device as a test environment, not as proof that the file is corrupted. The difference may come from missing font data, a reader handling form fields or annotations differently, or an export that depended on resources available only on the author's machine.
Start by saving the exact problem file. Do not create a fresh export yet. Open that same copy in a second reader on each computer and compare one known page at the same zoom. This small matrix tells you whether the problem follows the file, the reader, or the device.
Classify what changed
Look for the type of difference:
- Typeface, symbols, or line breaks changed. Suspect missing or restricted fonts, incomplete embedding, or character substitution. The guide to PDF font differences explains how embedded and subset fonts affect a handoff.
- Typed form values, comments, stamps, or visible signatures changed or disappeared. These may be interactive objects layered over the page, and readers can display or print them differently.
- Page size, clipping, or printed scale changed. Compare page dimensions, orientation, and print settings rather than changing the text first.
- The file will not open or pages are missing. That is broader than a visual compatibility issue and calls for structural diagnosis.
- The same problem appears in every reader. Return to the source export if possible; the defect was probably already written into the PDF.
Also try selecting and searching for a known sentence. A page can look stable while carrying no usable text, or look wrong while its native text remains intact. That distinction determines whether a visual freeze is acceptable.
Prefer a corrected export when the source exists
If you still have the source document, correct fonts, page settings, image links, and export options there. A new export preserves more structure than repairing a finished PDF after the fact. Reopen the result on both computers, inspect the changed pages, select text, and preview printing.

Flatten only the copy you intend to send
When the page itself is correct but interactive content is unreliable, create a separate delivery copy with the PDF flattening tool. Choose the mode according to the handoff:
- Standard fixes supported form widgets and annotations into page content while retaining native searchable text.
- Full raster rebuilds pages as images. This gives up text search and can increase file size, but it removes dependence on live page objects.
- Strip + Flatten or Stealth adds supported metadata cleanup to an image-only workflow. These modes are not true redaction and do not provide a legal anonymity guarantee.
Flattening is a one-way change for the affected interactive content, so keep the original. Modifying a PDF can also invalidate an existing certificate-backed signature. If signature verification matters, preserve the signed original and treat the flattened version only as a compatibility copy.

Run a real handoff check
Before sending the file widely:
- Confirm the page count and page dimensions.
- Inspect pages that contain uncommon fonts, symbols, signatures, tables, and form values.
- Search for a known phrase and copy a sentence.
- Preview printing on the receiving computer.
- Check that fields meant to be fixed are no longer editable.
- Compare the file size with the original, especially after rasterising.
- Keep the source and original PDF beside the delivery copy.
The best fix is not the one that merely looks right on the computer that made it. It is the least destructive change that passes the actual receiving-device test.
