How to Prepare a Visa Application PDF Bundle
Prepare a visa-upload bundle by following the official checklist, scanning clearly, ordering pages, compressing carefully, and checking each final PDF for privacy risks.

Visa portals often turn a straightforward document request into a file-preparation problem: several categories, strict size limits, scans from different sources, and identity documents you do not want to upload to random conversion services. The safest approach is to treat the authority's current checklist as the source of truth and build only the files it asks for.

Freeze the official checklist before scanning
Save or print the current checklist and portal instructions from the authority handling the application. Record the date you accessed them. Build a simple working table:

Use the authority's category names rather than inventing your own. If the portal has separate upload slots, do not merge everything into one impressive-looking file. A reviewer should not have to search a 90-page bundle for the document that belongs in a specific field.
Check whether certified translations, original-language copies, blank passport pages, both sides of an identity card, or a particular statement period are required. A generic online checklist can become stale; the live authority instructions control.
Scan identity documents without losing required detail
Use the document scanner for paper evidence and camera captures. Place the document on a plain contrasting surface, use even light, hold the camera directly above it, and capture all four edges.
For passports, identity cards, stamps, seals, and coloured forms:
- keep colour when colour carries information or the instructions require it;
- avoid glare over photographs, embossed areas, holograms, and machine-readable lines;
- do not crop off corners, page numbers, signatures, or the issuing authority;
- capture both sides when requested, even if one side appears mostly blank;
- check the smallest printed characters at normal zoom;
- remove the desk, fingers, unrelated papers, and reflections from the frame.
Do not digitally "improve" a value, repair a stamp, erase a mark, or replace a background in a way that changes the evidence. Perspective correction and rotation should make the page readable without altering its content.
Turn loose images into deliberate PDFs
If a document arrives as several JPG or PNG files, use
images to PDF to create one document in the correct
page order. Name the source images before combining them so page-01 and
page-02 are harder to reverse accidentally.
Then use organize pages to rotate upside-down scans, remove accidental duplicates, and confirm sequence. Keep multi-page statements, letters, and certificates together. Do not detach signature or continuation pages from the document they complete.
For downloads already supplied as PDFs, avoid printing and rescanning them. The original download is usually clearer and smaller than a camera copy. Open it, confirm it belongs to the applicant and requested period, and include it in the correct portal category.
Merge only within the portal's categories
Use merge PDF when the instructions allow several documents in one upload slot. A practical order inside a category is:
- a short category cover sheet only if permitted and genuinely useful;
- the primary requested document;
- continuation pages in source order;
- translation immediately after its corresponding original, if the authority accepts that arrangement;
- supporting evidence from newest to oldest or in the stated order.
Do not add decorative title pages that consume the size limit without helping review. Do not merge files across categories merely to reduce the number of uploads. The portal's structure is part of the application workflow.
After merging, reopen the file and compare its page count with the sources. Check the join between every component; duplicate last pages and missing first pages often appear at those boundaries.
Reduce size without destroying evidence
Portal limits may be expressed per file rather than for the whole application. First remove duplicate or unintended pages. Then use compress PDF to understand where the bytes are going and apply the least aggressive reduction that reaches the target.
Inspect after compression:
- passport numbers and machine-readable lines;
- dates, account values, and statement periods;
- entry and exit stamps;
- signatures, seals, and fine-print declarations;
- QR codes or barcodes the authority may need to scan;
- translated diacritics and non-Latin scripts.
If the file remains too large, split it only where the portal permits multiple
parts and use clear names such as finances-statements-part-1.pdf. A blurred
single file is not better than two readable permitted files.
Check privacy before uploading
Visa evidence contains enough information for identity fraud, so minimise unnecessary handling. The finished files still leave your device when you submit them to the official portal, which is the intended recipient.
Run the privacy risk scanner on each final PDF. Look for accidental extra pages, unrelated attachments, comments, hidden form values, and metadata copied from an employer or adviser. Do not remove data the authority requested merely because it is sensitive. The purpose is to catch unintended material, not to redesign the evidence.

Reconcile every file against the application
Before upload, check each row of the frozen checklist:
- The filename is clear and contains no unnecessary sensitive value.
- The applicant and document period are correct.
- Every required side and page is present once.
- Page orientation and order are correct.
- Colour and fine details remain readable after compression.
- The file opens in a second reader and stays under the stated limit.
- No unrelated page, comment, attachment, or hidden value remains.
- The portal category matches the document.
Keep the original sources and a copy of the exact files submitted, subject to your storage policy. Record the submission date and portal receipt. A careful bundle cannot determine eligibility, but it can prevent avoidable delays caused by missing, unreadable, oversized, or misfiled evidence.
